Review the room options below and select the suite or room that works best for you / your group. Note the room code for your booking email. Rooms are first-come first-serve, so we recommend booking right away to ensure you receive your first choice of room!
Retreat attendees are responsible for booking their own accommodations at the hotel. To do so, please read the following instructions and send an email containing the following information to reservations@thehouseofaia.com
1. Mention that you are attending the Holistic Leadership Council Retreat with special rates. (IMPORTANT: Do NOT abbreviate to HLC!) If you do not do so, you will not receive our special booking rate.
2. Your suite selection (list the code from the table below).
3. The number of guests staying in your suite. Include the number of adults, and, if applicable, the number of children and their ages.
4. The dates that you will be staying including your check-in and check-out dates.
5. You flight manifest including flight numbers, airline names, and arrival and departure times and dates so the resort can arrange your transport. If you do not have this information yet, you can still book your reservation. Just be sure to send it a minimum of 30 days prior to your check-in date.
Guests have a choice of multiple styles of suites featuring swim out pool to family style if the children are joining. Enjoy the comfort of your suite and discover all the amenities included. All of Palmaïa’s 234 Oceanfront Suites are cruelty-free, as they have been assiduously planned as free of animal products and animal-tested products, offering an enlightened space that celebrates the value of all life on Earth with zero use of leather and feather-free bedding.
The retreat runs from April 3rd – 6th, 2025, but feel free to stay longer before or after. Our rate extends by 3 days prior and following the retreat.
First, Council Members Register for the Retreat with the HLC, and then you can contact Palmaia to make your reservations.
Rates are available for booking until the cut-off date, which is February 17th, 2025, forty-five (45) days prior to Event Dates (April 3rd). After this date guests can book at the best rate available at the time of booking, and the reservation is subject to the resort’s standard booking policies.
Room Rates include all taxes. Rates may be subject to adjustment in response to any tax increases or newly approved taxes by local authorities, effective from the date of this contract.
Resort Reservation Requirements and Cancellation Policy:
59 to 0 days before arrival, any room cancellation will result in a two-night penalty per person.
For any room cancellations, no-shows will be charged on the date of arrival, and there will be a two-night cancellation fee at the contracted group rate.
EARLY DEPARTURES: The hotel will apply 100% cancellation fee at the contracted group rate.

Individual guests are responsible for settling guest folios at the time of check-out by credit card or Mexican Pesos. Due to recent Currency Regulations in Mexico, U.S. currency cannot be used to settle accounts at the Hotel.
The Early check-in price is $150 USD per room between 6:00 am and 11:00 am.
Late check-out price also is $150 USD per room up to 5 pm.
The reservation department will request full payment of the bookings before the cutoff date, which is forty-five (45) days before the Event Dates, to guarantee that the bookings qualify for Group Rates.
Each group reservation must include all guests’ full names (as they appear on ID, Passport, or credit card), arrival/departure dates, accommodation requirements, the number of adults, teens, children, and infants sharing the room, email address, flight manifest, and special requests.
All bookings are required to be fully paid at least 45 days before the scheduled group arrival. Failure to complete the payment within this timeframe may result in automatic cancellation of the bookings. Bookings later than February 17th (45 days before) are subject to the resort’s standard booking terms.
Additional food and beverage items offered to enhance the guest’s accommodation experience will be charged to the card on file for the room.
Transportation Services (from and to the Cancun International Airport) are available through the hotel at an additional cost.
Each group attendee should provide the flight manifest with the arrival and departure information, including flight numbers, Airline Company, and special requests, at least 30 days before the arrival date to coordinate the services.
Flight information will be sent by each group attendee directly to our transfer company in order to arrange the service. The flight manifest is key to Palmaia Front Desk to be able to provide the best service for your check-in and check-out process in addition to the transportation coordination. Failure to comply with this requirement may impact the hotel’s ability to provide seamless services. The email address for arranging services can be found in your registration confirmation from the HLC.
HLC Discounted Room Rates: All-inclusive rates start at $515 per person, per night for single or double occupancy ($1030 deposit for 2 nights for a single occupancy, multiplied based on occupancy for your anticipated deposit). The various suites and occupancy allowance is variable yet are exclusive rates for our group. Room rates includes all taxes. Rates will be increased accordingly to any tax increase or new tax approved by local authorities. Reserve your rooms to secure this special retreat rate as they will be booked first come first serve. The group rate is available until February 17th, 2025, Thirty (30) days prior to the event date. After this date guests can book at the best rate available at the time of booking. Refer to the graph charts above and notate exactly which room to request your reservation.
